Booking Appointments

Book, edit, and cancel appointments for your clients from the Today screen. Each step below was tested in the live product.

Before you begin
Your provider account needs access to the client you want to book. Appointments are booked in the Neurofit provider dashboard.

Step 1: Open the Today screen and select "+ New appointment"

From the left sidebar, open Today. Select the green + New appointment button at the top right of the screen. (You can also start from the + New Appointment button on Overview.)

Step 2: Choose an appointment type

The New appointment dialog opens with the type selector at the top. Pick the type that best matches the session:

Type Example use
Intake First appointment with a new client
Follow-up Ongoing treatment sessions
Progress review Formal check-ins on client progress
Assessment Standardized assessment sessions
Check-in Brief check-ins
Custom Anything else

Note: these are example uses. Choose the type that best fits your session.

Step 3: Select the client

Type the client's name in Search a client and pick them from the results.

Note: the client must already exist in your client list before you can book for them.

Step 4: Choose the date, time, and duration

  1. Pick the date and start time.
  2. Pick a length: 30 min, 45 min, 60 min, or Custom.

The green button updates to summarize your choices, for example Schedule · Intake, 60 min.

Step 5 (optional): Add details or set a repeat

Open More options — details, repeat to reveal two extra settings:

  • Details (optional): a free-text note about the session, visible to you.
  • Repeat: None, Weekly ×4, Weekly ×8, or Custom.

Warning: a repeat setting creates multiple bookings at once. Double-check the repeat count before you schedule.

Step 6: Schedule the appointment

Select Schedule · [type], [length]. The appointment appears in the Appointments section of your Today screen, showing the client name, type, and time.

Edit, reschedule, or cancel an appointment

Find the appointment in the Appointments list and select the pencil icon to open Edit appointment.

  • Change the type, client, date, time, or duration.
  • Open More options — details, provider to edit details or reassign the appointment to a different provider.
  • Select Save changes to keep your edits.
  • To cancel, select Cancel appointment (red text, bottom left of the dialog).

Warning: cancelling removes the appointment from the schedule. If you need the slot again, you will have to rebook it.

After the appointment: wrap up

Once an appointment's scheduled time has passed, it may show a wrap-up option on its row. If available, selecting it opens the wrap-up dialog, where you can:

  • Mark the appointment Completed, No-show, or Cancelled.
  • Add an optional note, which is saved to the client's timeline.
  • Select Adjust home program to jump straight into assigning activities for that client.
  • Open Letter Studio to draft a progress letter.

Note: a nudge reading "N past appointments to wrap up" appears above the Appointments list when past appointments are still waiting.

See your appointments in your own calendar

Select Subscribe at the top of the Today screen to get a private calendar feed link. Add it to Google, Outlook, or Apple Calendar as a calendar "from URL". Your Neurofit appointments then appear there automatically.

Note: the feed is one-way and read-only. Booking and editing still happen in Neurofit.

Warning: keep the link private. Anyone with the link can see your appointment times. If it is ever shared by mistake, use Regenerate link to invalidate the old one.

Notes and limitations

  • There is no reminder button on individual appointments. The Remind button appears on Needs attention client cards, not on appointment rows.
  • No meeting or video-call link is attached to appointments in the current product.
  • Appointments are booked and edited in the provider dashboard only.
